Booking system

A booking system lets customers pick a date and time and book without calling, and lets you manage those bookings.

It's like keeping the booking book by your counter open 24 hours a day. Bookings come in even at night after you've closed.

A little more detail

With platform booking like Naver Booking, a booking button shows right on Naver Map and Naver Place, which customers already know. The trade-off is that the look and rules follow the platform.

With booking on your own website, you can freely ask questions that fit your business (type of service, party size, special requests), and customers don't leave your website.

You can also use both. Just set up a way of working so the same time slot can't be booked on both sides.

What are the ways to take bookings online?

There are four main ways to take online bookings: platform booking, booking built into your own website, a booking request form, and linking to an outside booking service. None is simply better; choose based on where most of your customers come from and how complex your booking rules are.

With a booking request form, the customer sends the time they want and you confirm it after checking. It's simpler than real-time booking, but if a confirmation slips through the cracks the customer is left waiting, so set a rule for how quickly you reply.

For a business that rarely takes bookings, like a cafe, a single "group and private rental inquiry" form may be all you need. On the other hand, businesses that see customers by time slot, like hair salons and workshops, get much more out of real-time booking.

What features does a booking system need?

The three must-have features are showing only available times, booking notifications, and handling cancellations and changes. Without these three, you end up confirming by phone again and lose the benefit of online booking.

Next come settings that match how your business runs. Pick the items from the list below that apply to you and share them with your agency, and the conversation about the quote and schedule gets much more precise.

More features aren't always better. The more there is to configure, the harder it is for you to manage, so start with what your current operation really needs and add more when you need it.

If each class has a set capacity, as at a workshop, a feature that shows remaining spots, like "3 spots left," helps. Customers can decide on a date more easily, and you get fewer calls asking about availability.

  • Opening hours, days off and break time settings
  • Booking slot length (30 minutes, 1 hour, time per treatment)
  • Number of people or seats per time slot
  • Booking cutoff (e.g., by 6 p.m. (18:00) the day before)
  • Separate bookings per stylist, instructor or room
  • Booking confirmation and day-before reminders (SMS, KakaoTalk notifications)
  • Booking list and calendar view for you

How do I set up a booking system, step by step?

Before choosing features, start by writing down how you currently take bookings by phone and message. Customers and staff won't get confused only if your current rules carry over as they are.

The last step matters most. Regulars don't change their habits overnight, so sharing the booking link on in-store notices, booking confirmation texts and your Instagram profile helps them switch faster.

Setup mistakes can happen early on, such as bookings coming in on your day off. Check the booking list every day for the first few weeks and fine-tune the settings, and things settle down quickly.

  1. 01Look at the last month or two of bookings and write down what customers often ask and your booking rules (duration, party size, cutoff).
  2. 02Decide whether to use platform booking, website booking or a request form.
  3. 03Write out your cancellation, change and no-show rules in sentences.
  4. 04Choose only the information you truly need to collect in the booking form.
  5. 05Decide who gets notified when a booking comes in, and where.
  6. 06Before launch, have staff and friends actually make and cancel bookings to test it.
  7. 07For the first month or two, keep taking phone bookings too while gradually moving to online booking.

How do I set cancellation and no-show rules?

Clearly decide two things: until when customers can cancel for free, and what happens after that. Then put those rules where customers can see them before they tap the booking button.

The Korea Fair Trade Commission's notice, the Consumer Dispute Resolution Standards, sets out booking cancellation and penalty standards for some industries. These standards are used to settle disputes when you and the customer haven't agreed on anything separately, so it's worth looking up the section for your industry.

To take deposits, you also need online payment. Deposits help reduce no-shows but can feel like a burden to customers, so one option is to require them only for bookings where an empty slot costs you a lot, like groups or long treatments.

How should a booking form collect customers' personal information?

The rule is to collect only what the booking really needs. For most businesses, a name (or nickname), contact number and booking details are enough; ask for date of birth or address only when you truly need them.

List what you collect, why, and how long you keep it in your privacy policy, and link to it right next to the booking form. Whether you need separate consent depends on the situation, so check the Personal Information Protection Commission (PIPC) guidance or ask an expert.

Booking notification texts and promotional texts like discounts or events must be treated differently. To send promotional messages, you need separate consent to receive them, apart from the booking itself.

Booking records should also be deleted once they're no longer needed. Decide when old booking data will be deleted, and confirm that you can delete it from the admin panel.

What are common booking system mistakes?

The most common mistake is opening both platform booking and website booking, then having the same time slot booked on both at once. If you use both, you need an operating rule, such as splitting them by customer type or service, or treating one as the master and blocking slots on the other.

Sending booking notifications only to your own email is risky too. If you miss one on a busy day, the customer shows up thinking they're booked, so set up a notification method your staff can see as well.

Not testing the booking screen on a phone is another common mistake. Most customers book on their phones, so make sure the date picker calendar is easy to tap on a small screen.

What should I ask my web agency about a booking system?

When handing a booking system to an agency, the fastest approach is to show them the booking book or notes you use now. Real records lead to fewer missed settings than explaining the rules verbally.

  • Can I set days off, break times and time per treatment?
  • How will I be notified when a booking comes in? (KakaoTalk notifications, SMS, email)
  • Can customers cancel or change bookings themselves?
  • Can I view and edit the booking list on my phone?
  • Can I download booking data to Excel or similar?

For example

  • Hair salon: Naver Booking for new customers, website booking for regulars who want a specific stylist.
  • Craft studio: shows the seats left in each class and closes sign-ups automatically when it's full.

Just check these

  • You get a notification when a booking comes in
  • Cancellation and change rules are shown to customers up front
  • Time slots don't overlap with other channels like Naver Booking
  • There's a privacy notice next to the booking form

Does my business need it?

You need one if phone bookings keep interrupting your work, or if you want to take bookings outside business hours.
